Venues
01
Hotels, lodges, conference centres, private dining rooms, halls and the odd ranch. We visit before we recommend, and we ask the questions that matter on the day.
What we check
- Load-in times and where the dock is
- Capacity for your layout, not the brochure's
- Noise curfew and last call
- Step-free routes and accessible washrooms
- What's included: tables, linen, staff, power
Catering
02
The venue's own kitchen or an outside caterer, plated or family style, plus bar service. We go to the tasting and match every dietary need to a name and a seat.
What we check
- Dietary list matched to the seating plan
- Service timing that fits the program
- Staff numbers for each course
- Who holds the liquor licence
- The final-numbers deadline in the contract
AV
03
Sound, lighting, screens, streaming and the technicians who run them. We don't own gear; we book a company that does, send them the run of show and stand beside their tech at the line check.
What we check
- Power and rigging at the venue
- Slides and videos collected 48 hours ahead
- Microphone count for each segment
- A line check before doors
- A backup laptop at the lectern
Transport
04
Coaches, minibuses and vans between Calgary, the airport and the mountains. Each vehicle gets a manifest, a named driver and a pickup point people can actually find.
What we check
- Licensed and insured operators
- Winter tires on every mountain run
- Driver hours within the rules on long days
- A buffer for highway closures
- A last shuttle after the last guest
