How we work

Six steps, one document, no surprises.

The same process for a 40-guest birthday and a 400-guest conference. It runs on one shared budget sheet and one run of show, and it ends with a folder you keep.

01The process

From the first call to the last invoice.

  1. Discovery

    Week 1

A 45-minute call, or coffee at our office. Date, guest count, budget range, the feeling you want and the things that can't go wrong.

You getA one-page brief within three working days.

  2. Budget

    Weeks 1 to 3

We build the budget sheet line by line, with real quotes wherever we can get them. You see every number, and our fee is on it.

You getA shared budget sheet and our fee in writing.

  3. Suppliers

    Weeks 2 to 8

We shortlist, ask for quotes, read the contracts and book. Venue first, then catering, AV, transport and rentals.

You getA supplier list with contacts, deposits and deadlines.

  4. Run of show

    From week 4

Every minute of the day, who's doing it and what happens if it slips. Versioned, and shared with every supplier.

You getThe final run of show two weeks before the event.

  5. The day

    Event day

Our lead coordinator arrives before the first delivery and leaves after the last van. Suppliers call us, not you.

You getOne phone number for the whole day.

  6. Wrap-up

    Within 2 weeks

We check every supplier invoice against its contract, return lost property and write down what to keep for next time.

You getA final budget, checked invoices and a debrief note.

02The handover

What we hand over at the end.

Everything we made for your event is yours. If you plan next year's yourselves, the documents work without us. If you come back to us, we start from them.

  • brief.pdfThe one-page brief from discovery, with changes marked
  • budget-final.xlsxEvery line: quoted, contracted and paid, with receipts linked
  • run-of-show-final.pdfThe version we ran on the day, with the real times noted
  • suppliers.csvContacts, contract dates, deposits paid and returned
  • floor-plans.pdfRoom layouts, the seating plan and the stage plan
  • debrief.pdfWhat worked, what we'd change and what to book early next year

03What we ask of you

Three things keep a plan on schedule.

One

One person who decides

Committees are welcome. We just need one name who can say yes to a quote, so suppliers don't release the date.

Two

Answers within two working days

Venues hold dates for a few days, not weeks. Quick replies keep the good options open.

Three

Final numbers ten days out

Caterers and coach operators need a firm count. After that date, changes may cost more.

Next step

Step one is a 45-minute call.

It's free, and you'll know by the end of it whether we're the right team for your event.
